We are looking for an experienced and highly organised, immediately available Executive Assistant & Office Coordinator to support two senior executives while helping ensure the smooth day-to-day running of a busy London office.
This role begins on a temporary contract but will go permanent for the right candidate. This role combines high-level executive support with broader office coordination responsibilities, making it ideal for someone proactive, detail-oriented, and comfortable working in a fast-paced professional environment.
What you’ll be doing
Executive Support
- Provide dedicated support to two senior executives, including complex diary management and meeting coordination across time zones
- Manage inboxes and prioritise communications
- Organise travel arrangements including flights, accommodation, rail, and car bookings
- Prepare meeting materials and ensure executives are well prepared for meetings and engagements
- Manage travel itineraries and process expense claims
Office Coordination
- Act as a key point of contact for day-to-day office administration queries
- Support the onboarding of new employees, including coordinating desk setup and welcome arrangements
- Liaise with external vendors and suppliers to maintain smooth office operations
- Manage office supplies, post, meeting room bookings, and general office organisation
- Assist with office events and team activities
Team & Administrative Support
- Provide additional administrative support to senior stakeholders when required
- Help ensure internal communications and document distribution run efficiently
- Be a collaborative team member willing to support the wider office where needed
Executive Assistant Team Support
- Work closely with the Executive Assistant to the CEO, acting as a trusted deputy when needed
- Assist with office-related projects, including office moves, space planning, and vendor coordination
- Maintain awareness of office lease agreements and support communications where necessary
- Provide continuity and support during periods of absence
What you’ll bring
- 5+ years’ experience supporting senior executives, ideally at C-suite level
- Excellent organisation and time-management skills with strong attention to detail
- Proactive, adaptable and solutions-focused approach
- Strong interpersonal and communication skills with a professional manner
- Ability to handle confidential and sensitive information with discretion
- Comfortable managing multiple priorities in a fast-paced environment
- Confident using Outlook, Microsoft Teams, MS Office Suite, and travel/expense platforms
